Embrace Acupuncture is a small but quick-paced Acupuncture Clinic that specializes in women's health and fertility. We also treat pain and other ailments such as headaches, digestive issues, stress and anxiety and offer cosmetic acupuncture. As such, the right candidate would show compassion and sensitivity to our patients but also strong and appropriate boundaries.

Job Description

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the Acupuncture practitioner, assisting in daily office needs and managing our company’s general administrative activities. Administrative Assistant responsibilities include scheduling and billing our clients, turning over treatment rooms between appointments, answering phone calls and online inquiries. Will train the right candidate for insurance billing. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.

Responsibilities

Answer and direct phone calls
Organize and schedule appointments
Check in and out patients for their appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the cleaning and turning over of treatment rooms
Develop and maintain a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Provide general support to visitors
Act as the point of contact for internal and external clients
Will train: Insurance billing

Qualifications

Skills

Proven experience as an administrative assistant or office admin assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills. Ability to catch and solve mistakes
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task and prioritize work duties based on urgency or importance
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
HIPAA training will be provided. Proficiency in technology is a great plus. We use electronic billing and scheduling so the ability to use and take advantage of technology for efficiency is greatly sought after.

While we will show flexibility with hours, the right candidate will be available for at least 5-6 hour shifts in a given day, in order to provide continuity of service and workflow. The ability to work more/longer hours as our office expands would be wonderful! Not required, but the ability to work weekend hours will also be a big plus.

Pay will increase appropriately periodically upon satisfactory results. Pay will also increase once trained and proficient with insurance billing. Employees will be entitled to discounted Acupuncture treatments, sick paid days off, as well as periodic bonuses and commission on retail products sold.

Salary: From $20.00 per hour

Expected hours: 10 – 20 per week

Current Preference for hours:
Mondays: 9-4
Wednesdays: 9-5
Thurs or Friday: 10-2
Saturdays: 9-2 (not required - optional)
Sundays: 9-3 (not required - optional)
Possibility to expand hours and/or add Work From Home duties as well.
